My Experience: A Checklist and Goal Tracker
In today’s fast-paced world, staying organized is crucial if you want to achieve your goals. Todoist is a simple yet powerful app designed to help you plan, track, and organize your tasks effectively. Whether you're juggling multiple projects or just trying to stay on top of daily responsibilities, Todoist has become my go-to tool for staying productive.
As an entrepreneur, I rely on Todoist to track my daily goals—whether it's creating new content, working on a product, or learning a new skill. I limit myself to five tasks per day, and the app's simplicity is exactly what I need to stay focused and avoid overwhelm.
Key Features of Todoist
1. Customizable Templates
Todoist allows you to create customizable templates (or copy existing ones from the community) for different projects, making it easy to replicate successful workflows. Whether you're managing a content calendar, learning a new skill, or planning a product launch, templates save time and keep you consistent.
2. Aesthetic Themes
As with every other app, I personally prefer the dark theme, as it not only looks sleek but also reduces eye strain during long work sessions. Todoist offers a variety of themes to suit your preferences, ensuring the app feels personalized and enjoyable to use.
3. Improving Your Workflow
I mostly use the inbox for quickly writing down new tasks and decluttering my mind. You can even journal there by writing long descriptions under tasks. It really comes in handy when you have a new idea, and there's nothing more frustrating than forgetting an incredible idea, so I always try to write things down.
Another neat feature is the Search: you can search by tags, sub-task, the name of the project, etc. I use this all the time.
For each task, you can create multiple sub-tasks (especially useful for big goals that you want to approach in a step-by-step fashion). You can also add comments under tasks, set deadlines, create custom reminders, and customize every aspect of your task however you want. The level of customization is by far the best I've seen among to-do apps.
Premium Features
For $5 per month, the premium version unlocks several powerful features that take productivity to the next level:
- Up to 300 Projects: the free plan limits you to just 5 projects, which doesn't do the app justice. With premium, you can track almost every aspect of your life - work, personal goals, reading/watching lists, and more.
- Unlimited Activity History: The free plan only shows activity from the past week, but premium gives you access to your entire history.
- AI Assistant: Automate task creation and get smart suggestions.
- Task Duration: Estimate how long tasks will take, helping you plan your day better.
- Custom Reminders: Set reminders tailored to your schedule.
For me, the number of projects was the most important factor. With premium, Todoist became my primary tool for planning and organizing my life. It’s worth every penny.
What I would like to see in the future updates:
While Todoist is excellent for task management, I recommend using a separate app like Fantastical or Google Calendar for scheduling repeated tasks. This combination allows you to focus on task execution while keeping your calendar organized. If Todoist had good scheduling capabilities like Fantastical (shown in the screenshot below), it would be the only app I needed for productivity.
Additional features: Gamification, Extensions and Integrations
Todoist includes some gimmicks, like a Productivity Visualizer, which displays a diagram of completed tasks, and a leveling system that rewards you for completing tasks (the more tasks you complete, the higher your rank becomes). These features add a layer of motivation and make productivity feel like a game.
Is the Pro Subscription Worth It?
Absolutely. The Pro subscription is a game-changer for anyone serious about productivity. It helps declutter your mind, organize tasks the way you want, and provides the flexibility to manage multiple projects simultaneously. For me, Todoist has become an essential tool for planning and ensuring I actually do the work. It's fairly priced at $5/month for the Pro plan, and $8 per user per month if you want to manage your team's productivity with the Business plan.
Todoist is a goal tracker, to-do list, planner and a note-taking app all in one. It’s a staple in my routine and has transformed the way I approach productivity.
